What you'll do:
The Order Planning Specialist ensures the seamless flow of our products to customers worldwide. This involves close collaboration with various teams, including Sales, Order Management, and the broader Supply Chain team, to plan, schedule, and monitor the entire orders cycle. This position is responsible for guaranteeing a positive customer experience, while ensuring the timely and accurate delivery of our products.
How you'll make an impact
- Ensure the timely processing and delivery of customer orders by reviewing open orders and coordinating with the order team to release packing slips to the warehouse for picking, primarily using Microsoft Dynamics D365.
- Assess the impact of sales orders on inventory and scheduling requirements by reviewing and analyzing them in D365, with the support of Excel and dashboards.
- Utilize D365 system-generated delivery dates and business guidelines to schedule customer orders effectively.
- Identify and resolve order exceptions, including urgent delivery requests, special staff orders, and customer order delays due to supplier purchase order issues, taking proactive steps to minimize customer impact and ensure timely communication.
- Collaborate with stakeholders to proactively monitor inbound shipments, leveraging dashboards and tracking numbers to identify and address potential delays or issues that could impact customer orders.
- Provide timely and accurate order status information, including estimated ship dates, to customers and internal stakeholders. Offer proactive solutions, such as partial shipments, to address potential delays or fulfill urgent requests.
- Contribute to balanced order management and optimized SKU utilization by helping identify and address global inventory imbalances across warehouses, ensuring the timely delivery of complete solutions.
- Proactively monitor inventory levels by analyzing inventory dashboards to quickly identify and address potential issues such as low stock alerts or inaccurate safety stock settings. Escalate unresolved concerns to stakeholders to ensure system accuracy and prevent stockouts.
- Collaborate with various global operation teams such as purchasing and fulfillment to adjust plans based on supply chain disruptions (e.g., delays, quality issues).
- Facilitate sales order line splitting to manage SKU revisions and transitions, optimizing inventory usage.
- Identify and resolve system-related issues, such as duplicate orders or incorrect items.
- Work closely with cross-functional teams to resolve order-related issues in real-time.
- Communicate effectively with internal and external stakeholders regarding order status and updates.
- Contribute to the maintenance of departmental knowledge resources (e.g., Wiki).
- Engage in continuous improvement efforts focused on optimizing processes and material availability, leveraging and expanding expertise in D365 order management functionality to maximize efficiency and effectiveness.
What you'll bring to the role
- Post-Secondary Diploma/Degree in Business Administration, Supply Chain Management, or a related field.
- 3 - 5 years of required previous experience in a similar role.
- Strong understanding of demand planning, procurement, inventory management, and order fulfillment.
- Expertise in order processing, including scheduling, tracking, and managing exceptions.
- Knowledge of inventory optimization and managing stock levels.
- Ability to analyze data to identify trends and improve efficiency.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite, Google Suite, and ERP systems (D365 a plus).
- Meticulous attention to detail.
- Exceptional time management and organizational skills.
- Proactive approach to improving processes and optimizing inventory.
- Familiarity with products, including regional variations.
